Job Position Summary
• Procurement & Logistics Officer - buyer role is responsible for processing, documenting, and communicating the requisitions put in by the assigned vessels, adhering to policies and SOP’s set by the shared services.
Responsibilities
• Performs day-to-day purchasing activities to ensure safe and timely delivery of requisitions requested by the vessel with due consideration to the urgency of the items
• Responds to the requisitions raised by the vessels in the company’s purchasing system.
• Liaises with the technical department as needed, regarding specifications and prioritization of requisitions.
• Communicate with Category teams regarding prices, vendor-related queries and service level agreements.
• Achieves the goal of cost-efficient, safe & timely operations of vessels in accordance with company policy & procedures.
Routine Job Description
• Check and analyze requisitions based on the requirements of stakeholders.
• Identify and issue quotation requests to appropriate vendors in line with department SOPs.
• Manage the quote comparison process, ensuring criteria such as quality and lead times are also considered in addition to cost.
• Issue the Purchase Order (PO) with all the required details (e.g. agent details).
• Ensure that supplier issues order confirmations.
• Liaise with supplier, forwarder and agents to ensure goods are ready at the port of call before vessel arrival.
• Follow up with vendors on invoice issuance and ensure appropriate supporting documentation is obtained for stake holders to process invoices in a timely manner.
Overall Job Profile
• Takes care of the purchase flow to ensure the desired result which includes processing requisitions through to invoice clearance
• Regular and prompt communication with vessels and external stakeholders like agents, ship chandlers and suppliers to ensure timely delivery of shipments
• Assistance, coordination and timely communication with supervisors for escalations or role related queries and challenges
• Continuously improve service quality and productivity levels. Proactively share best practices across the teams
Job Requirements
• Degree holder of any faculty with minimum 1+ years of work experience as a Buyer involved in global supply chain operations within the maritime industry
• IVE or Diploma of any faculty with 2+ years relevant work experience as a Buyer involved in global supply chain operations
• IT literate and capable of working with advanced procurement systems
