Job Position Summary
Reporting to the GM Strategic Sourcing, the main responsibility is to maintain effective systems, data, and status information in relation to supplier contracts and financial entitlements, as well as contract management data and processes.
Key Roles and Responsibilities
- Maintaining contract database and list of approved vendors and informing the category managers when a contract is lapsing
- To assist in evaluating suppliers at the time of empanelment and subsequent renewal
- To communicate with suppliers to maintain accurate information.
- Maintenance of Supplier Quality database and tracking of unapproved vendors being used.
- Maintenance of feedback on vendor performance.
- Liaise with the Buyers and Accounts department regarding the invoice payment status and update the vendor.
- Collect and monitor all overdue invoices from the technical teams and process them for consolidated payment.
- Ensuring that contracts and related documents are scanned and appropriately registered within the relevant systems.
- Document housekeeping as per company requirements
- Deliver procurement improvement and enhancement projects as directed by the GM Strategic Sourcing
- Ad hoc duties, tasks or projects as assigned by management
Relationship:
The Procurement Executive will report to the GM Strategic Sourcing and will coordinate with finance colleagues and other colleagues in the Procurement Department. The position also involves representing the Company in front of various suppliers from time to time.
Job Experience, Functional Knowledge and Qualifications
- Advanced in the use of MS Office, especially Excel. Knowledge of MS SharePoint, Microsoft Power BI & Power Automate is an advantage
- Excellent communication skills (both written and spoken)
- Comfortable with learning new IT systems that will be required to execute duties.
- Well-organized and structured approach to work
- Strong team player with a positive working attitude
- A degree in supply chain, logistics, business, law, finance or a related field from a recognized institution is preferred.
- Understanding a Contract Lifecycle is an added benefit
- lead and monitor the execution of the contract management policies and frameworks
- enhance the contract monitoring system to ensure a valid contract supports the company's product and service requirements
- manage project execution by developing and maintaining plans, timelines, and budgets, as well as identifying and mitigating risks
- 1-2 years of current or recent experience in project management or a related field, preferably system or change projects, is an advantage
