Job Position Summary  

 

  • Oversees end-to-end travel logistics, tracks crew changes, coordinates complex bookings, and executes dynamic itinerary adjustments.
  • Processes and approves travel invoices and checks Purchase Orders (POs) to ensure accurate payment arrangements of booked flights.
  • Processes and secures US/Schengen/Chinese/Indian visas, etc.

 

Key Roles and Responsibilities   

 

  • Manage visa processing operations and secure US/Schengen/Chinese/Indian visas.
  • Acts as a dedicated Embassy Liaison for China, India, and Canada embassies.
  • Coordinates with FPD, shipping agents, and technical departments for crew arrangements.
  • Coordinates with insurance, vessel accountants, and owners for travel payment concerns.
  • Submit monthly travel report for each agency (BCD, Wuhan, Asiana, Sky Air).
  • Sends out daily visa update.
  • Serves as backup front desk personnel, functioning as the primary point of contact for operational concerns and inquiries.
  • Requests Cash Advance for visa applications.
  • Processes other visa applications and release for (China, India, Taiwan, Belgium, Netherlands, Spain, Japan, Papua New Guinea, New Zealand).
  • Issues and books domestic flight for repatriation crew.
  • Generates P.O domestic flights (for repatriation crew).
  • Issues dummy ticket (Marina, DFA, Immigration).
  • Issues Invitation Letter joining crew/business visa to the Philippines.
  • Arranges best suitable and economic air tickets for crew members.
  • Coordinates with shipping agents, ships, crew, personnel and technical departments for crew change arrangements.
  • Monitors current crew changes and follow up amendment requests.
  • Prepares various reports required by the Manila and Hong Kong offices.
  • General clerical duties and other ad hoc tasks as required by the manager.

 

Relationships (mostly Internal and or External) and Nature of Communication   

INTERNAL: FPD, Onboard Captains and Superintendents.
EXTERNAL: Travel agents, local agents, airlines and with immigration.

 

Job Experience, Functional Knowledge and Qualifications   

  • Bachelor’s degree in Business Management or Tourism Management
  • Good computer skills in using Outlook email and word
  • Proficiency in written and spoken English
