Job Position Summary:

 

Reporting to the Senior Lead Buyer, the main responsibility of the Lead Buyer is to supervise a team of Buyers/Senior Buyers and provide daily support to the team, including, coordination of quotations, cost comparisons and liaising with suppliers.

 

Key Roles and Responsibilities   

 

Technical Responsibilities:

  • Responsible for overall procurement needs, services, stores and spares, of the assigned pod vessels [including ones assigned to oneself].
  • Responsible for collecting and documenting all technical information from the Pod vessels, workshops, and vendors.
  • Follow up on advance payments, make necessary entries in the cost book and liaise with suppliers, freight forwarders, vessels agents and the vessel for speedy dispatch in coordination with Technical Superintendent .
  • Plan arrangements for documents to be delivered on or off vessels.
  • Committed cost and Requisition housekeeping as per company requirements.
  • Assist Buyers [when required] with coordination of quotations, choosing the approved vendors, processing of quotations and cost comparison.
  • Prepare weekly reports of overdue invoices within the team and ensure timely clearance of the same.
  • Draft and circulate list of vendors frequently used by vessels within the pod for spares and services.
  • Escalation point for urgent follow up to support operations when required.

 

Supervisory and People Management Responsibilities:

  • Be a change agent to implement new procedures and processes under SOP’s.
  • Training the Buyers/Senior Buyers in Office 365 and purchase systems as required including usage of comments fields to ensure a complete procurement process.
  • Responsible for the team of Buyers and the coordination between them.
  • Assessing the training needs of the assigned pods and reporting to Senior lead buyer to ensure all members of the pods are trained as required.
  • Conducting yearly appraisals of the pod members and providing an improvement plan to overcome any shortcoming.
  • Monitor and track attendance of all team members and escalate potential resource shortage in advance to Senior lead buyers.
  • Conduct weekly meetings with technical teams and facilitate communication and coordination between the respective teams.
  • Point of escalation for technical teams for buyer related or supply chain related issues.
  • Ad hoc duties or projects as assigned by Superior or the Management.

Job Experience, Functional Knowledge and Qualifications:  

  • College Graduate of any business course.
  • With a minimum 1 – 3 years of work experience in the ship management industry as Buyer or Senior Buyer.
  • Have had experience working with Oracle – Preferable but not a must

 

Competencies:   

  •  Proficient in Microsoft office applications
  •  Fluent in written and spoken English is a must
  •  Supervisory skills and ability to lead a team
  •  Strong team player with a positive working attitude
  •  Willing to learn new IT systems and drive the change in the team
