Job Position Summary


To act as a positive representation of Fleet Management Limited to the seafarers & families. Aid seafarers & their families in case of emergencies at home while onboard and on leave.

Ensure the effective functioning of Manila and Cebu office buildings to provide a safe, efficient and high-quality working environment for colleagues and their work-related activities. Accountable for and will serve as the focal point for all safety, facilities management, physical security and administrative services and the optimization of the use of space and equipment while reducing operating costs.

Key Roles and Responsibilities   
 

FLEET CARE

  • Debriefing of seafarers
  • Follow up on Injury & illness cases post sign off
  • Welfare Calls to Family member (within 30 days of Joining of Seafarers)
  • Birthday Messages to seafarers on Leave and on board
  • Weekend online games with family group
  • Felicitation of long service award
  • MBAS Follow up with Vessels
  • Concierge desk for our seafarers [birthday wishes, employment verification, onboard crew entertainment system, letter issuances]
  • Maintain log sheet of seafarers involved in incident/ Medical unfit
  • Being accessible, providing support/information to families during the period of identified need.
  • BOB- Buddy on-board
  • Contact onboard Cadets/TMEs who are sailing for the first time, maintain reports and liaise with the master’s to ensure their wellbeing.
  • Assist in various campaigns run on behalf of FPD such as SID, Feedback on harassment onboard, Vaccination taken/not taken, and socializing the crisis helpline number.
  • Responsible in the reporting of crew death, accidents and other incidents onboard vessel with the Department of Migrant Workers, Department of Foreign Affairs, Philippine Overseas Labor Office, Overseas Worker’s Welfare Administration
  • Responsible in communicating with the next of kin of seafarer who suffered accident, injury, sickness or death onboard vessel
  • Handles complaints lodged against our seafarers either from their wives or 3rd party complainant
  • Responsible for monitoring all legal affairs within the organization. Handles both internal and external legal concerns

 

OFFICE ADMINISTRATION

  • Inspect and ensure that the building is well maintained and always equipped, meeting all HSEQ standards and local regulatory requirements. Ensuring consistent standards in hygiene and sanitation, cleanliness and maintenance of equipment, fittings and fixtures.
  • Develop and implement facility disaster recovery and emergency / incident management plans and lead the Emergency Response Team (ERT) that will support Security during site emergency response and/or incidents. Coordinating with all agencies for smooth flow of day-to-day Operations.
  • Establish and lead the building management committee and ensure that relevant standards are always maintained across the entire facility. Ensure active engagement and participation from colleagues from the various functions in support of this.
  • Ensuring organized entry and exit points through security staff and security systems. Ensure all physical access controls: cardkey systems, authorized access to restricted areas, cameras, alarms and other physical security systems are managed effectively.
  • Ensure standard SOPs, policies and procedures are developed, and are understood by all relevant colleagues, with respect to maintaining a high quality and efficient operating environment.
  • Direct, coordinate and plan essential central services such as reception, security, maintenance, cleaning, waste disposal and recycling. Ensure that all visitors to the facility receive a Visitor Safety Briefing in line with standard Group policy and procedure.
  • Manage all maintenance and repairs of all office equipment, appliances, furniture, furnishings, vehicles, etc. Oversee acquisition, installation and commissioning of equipment that are required for the facility – IT Systems, air conditioning etc.  
  • Secure necessary building permits and liaise with the Building Administrator and manage all retrofitting and repair activities required within leased office premises.
  • Oversee the services such as: janitorial, landscape, specialty cleaning, pest control, housekeeping, transport services, security management, moving activities, long term storage etc.
  • Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.

 

COMPLIANCE:

  • Accredited Data Privacy Officer both for Fleet Management Services Phils., Inc. and Fleet Management Training Institute Phils., Inc. under the mantle of the National Privacy Commission
  • Safety Officer both for Fleet Management Services Phils., Inc. and Fleet Management Training Institute Phils., Inc. as required by the POEA and DOLE as part of their requirements for issuance of DMW [POEA] License.
  • Responsible of all government transactions such as renewal application of Mayor’s Licenses, Barangay Licenses, Fire Clearance Certificate, etc. for both entities
  • Responsible for the timely submission of ESG Report to HQ. 

 

Job Experience, Functional Knowledge and Qualifications:

 

Fleet Care:

  • Knowledge of Marine Operations Support and Maritime Services
  • Crew Management experience

 

Administration:

  • Ideally a degree in Facilities Management/Engineering/Sciences with minimum 10 plus years of experience in a similar capacity
  • A strong understanding of Philippines Health and Safety, and Building regulations
  • Updated Occupational Safety and Health Certification / Accreditation
  • Strong knowledge in Safety compliance and Audits.
  • A thorough understanding of both employee services such as facilities services including maintenance, cleaning, and vendor management.
